What is Up-2-Date?

Up-2-Date is an expiry date management tool.

What is it used for?

As modern quality systems are placing more emphasis on the control and certification of equipment, consumables and personnel, the risk of missing a re-calibration or vocational approval renewal date greatly increases. Add to this the control of company vehicle servicing, health and safety, and environmental regulations and the number of expiry dates to manage quickly spirals upward.

The Up-2-Date software package is designed specifically to organise your workload and allow you to complete calibration and certification operations smoothly and without undue haste.

How does it work?

Simply by reminding you of forthcoming renewals, re-calibrations (or someone's birthday) with a user-defined advance warning period.

What else does it do?

Up-2-Date is a database program. As with all good databases, a search function is the most commonly used feature. Up-2-Date makes no exception and has a powerful search function which can execute multi-field database queries in less than a second. The results of a search can then be viewed, printed or saved to disk and incorporated into another document.

The second major feature is the year planner. As the records in the database are primarily date/time critical, the logical way to view this data is in a time-line format. By presenting your data as a colour-coded year planner type of calendar, your workload for the coming month will be the first thing you notice. If you have not been put off by seeing the amount of work ahead, you can use the year planner view to re-schedule busy periods or clear a few weeks for a well-earned holiday.

Is it difficult to use?

No. (We had to say that, didn't we)
Initially, typing in the data will be the biggest chore. If your data is already stored on a computer, we can probably convert it into Up-2-Date format for you, or provide a means for you to do it yourself.

Once the data has been entered, operation is a very simple matter. Here's how it works:

  1. To start the ball rolling we click GO on the UPDATE page.
  2. The database is scanned for all records which are within their warning period, which are then printed (or saved to disk for printing later). This print-out is called the Action List.
  3. Over the next week (for example) the items on the Action List are attended to.
  4. We return to our PC and click GO again on the UPDATE page.
  5. The items on the Action List are presented on screen, and where the item has been attended to, a few clicks of the mouse sets a new expiry and warning date and moves on to the next item. Any item which isn't given a new expiry date will simply appear on the next Action List.
  6. Go to item 2 above.

How is the data stored?

The data is stored as a flat-file database, which can reside on a local hard disk or a network folder. You can define 20 subject headings and four fields per subject to categorise the data. The database will hold about 10,000 records, but if you need more Up-2-Date can manage separate databases limited only by disk storage space.
